Office Manager and Personal Assistant

Lincoln IP is a modern firm of patent and trade mark attorneys based in Scotland, with offices in Aberdeen and Glasgow. Our specialism is providing businesses with sensible, strategic advice on patents, trade marks and designs.

A vacancy has arisen for an Office Manager and PA in our busy Aberdeen city-centre office. The successful candidate would be responsible for the smooth day-to-day running of office functions and will report to the Managing director.

Additional responsibilities would include:

• Acting as Personal Assistant to the Managing Director;
• Secretarial and administration duties for attorneys;
• Audio-typing;
• Dealing with correspondence including patent and trade mark formalities;
• Liaising with clients and responding to client queries;
• Meeting and greeting visitors;
• Arranging meetings and events;
• Diary management and managing staff travel;
• Managing external suppliers.

The successful candidate will be positive, enthusiastic, a good communicator and be able to work within a team, as well as displaying the confidence and initiative to manage and prioritise a range of tasks.

Experience in a similar role in an office environment is essential, and a history of working within the legal sector or other professional services firm would be an advantage. Audio-typing and full competency with Microsoft Office Suite software are prerequisites.

This is a full-time position, with working hours between 9am and 5pm Monday to Friday. The position will have a competitive remuneration package.
